Can You Install Yealink Equipment Yourself?

Yes. Some Yealink equipment is straightforward enough to install yourself, particularly a headset or a single desk phone.

Things become more complicated when you are installing a Microsoft Teams Room, fitting equipment into several meeting rooms or rolling out phones across an office. At that point, the job can involve networking, Microsoft 365 accounts, licensing, device configuration, cabling and physical installation.

So the question isn’t simply whether you can install Yealink equipment yourself. It’s whether doing so makes sense for the size and complexity of the installation.

If you’d rather have everything planned, installed and configured for you, our Yealink installers London team can help.

Do You Need a Certified Yealink Installer?

No. The fact that a Yealink device is certified for Microsoft Teams or Zoom does not mean it has to be installed by an accredited installer.

Certification relates to the device and its compatibility with the relevant platform.

That leaves you free to install suitable equipment yourself or use an IT or AV company to do it for you.

For a simple device, DIY can be perfectly reasonable. For equipment that depends on your business network, Microsoft 365 environment or meeting-room infrastructure, getting professional help can make the installation considerably easier to manage.

    What Does Yealink Certification Mean?

What Is a Teams-Certified Yealink Device?

A Teams-certified Yealink device is designed and tested for use with Microsoft Teams.

Depending on the type of device, this can include integration with the Teams interface and features intended to make using Teams calls and meetings simpler.

Certification shouldn’t, however, be confused with installation.

A certified device still needs to be connected and configured correctly for the environment in which it will be used.

Does Certified Mean Plug and Play?

    Sometimes, but not always.

A USB headset can be close to plug and play. Connect it to your computer, select the appropriate audio device and there may be very little more to do.

A business phone or meeting-room system is different.

Depending on the installation, you may also need to consider:

    • Microsoft 365 accounts
    • Teams licensing
    • network connectivity
    • Power over Ethernet (PoE)
    • firmware
    • device policies
    • security
    • room layout
    • mounting
    • audio and camera positioning

The more of those elements involved, the less useful the description “plug and play” becomes.

Which Yealink Equipment Can You Install Yourself?

Different Yealink products involve very different levels of installation.

    Yealink Headsets

A single Yealink USB or wireless headset is one of the easiest products to set up yourself.

For an individual user, there is normally little reason to bring in an installer purely to connect a headset.

A business-wide headset deployment can be different, particularly if you want consistent device models, firmware and configuration across users.

    Yealink Desk Phones

One desk phone can also be a realistic DIY job if your phone service, network and user account are already prepared.

Depending on your setup, you’ll need the appropriate network connection, power or PoE, user configuration and phone service.

For Microsoft Teams users, the relevant Microsoft licensing and account configuration also needs to be in place.

The equation changes when you’re installing phones across an office. Configuring devices individually takes time and makes consistency harder.

    Yealink MeetingBars

A Yealink MeetingBar combines several meeting-room functions into one unit, making it simpler than a room built from numerous separate components.

But simple hardware doesn’t necessarily mean a simple installation.

You still need to think about:

    • where the bar will be fitted
    • camera position
    • room size and seating
    • the display
    • network connectivity
    • Microsoft Teams or Zoom configuration
    • room accounts and licensing
    • testing audio, video and content sharing

A small huddle room may therefore be suitable for an experienced in-house IT team to install. A business-critical meeting room deserves more planning.

    Yealink Microsoft Teams Rooms

A Microsoft Teams Room is where we would normally start thinking of the installation as a project rather than simply setting up a device.

    A room may include:

    • a Yealink video bar or room computer
    • camera equipment
    • microphones and speakers
    • a touch console
    • one or more displays
    • network connectivity
    • a dedicated room account
    • Microsoft Teams Rooms licensing

All of those components need to work together.

When Should You Use a Professional Yealink Installer?

Professional installation starts making more sense when a problem would affect more than one user or when several systems need to work together.

    Typical examples include:

    • installing several Microsoft Teams Rooms
    • fitting meeting-room equipment
    • rolling out phones across an office
    • installing network cabling
    • configuring PoE
    • creating and configuring room accounts
    • assigning Microsoft licences
    • integrating devices with an existing phone system
    • provisioning multiple devices
    • migrating away from an existing telephone platform
    • troubleshooting equipment you’ve already purchased

The benefit isn’t simply having someone plug the equipment in.

It’s having someone consider the room, hardware, network, accounts and communications platform as one installation.

Can Someone Install Yealink Equipment We’ve Already Bought?

Yes. You don’t necessarily need to buy your Yealink equipment from the company installing it.

If you’ve already purchased the hardware, an installer can check the proposed setup, configure the equipment and identify problems before you spend more money expanding it.

This can be particularly useful when you’ve inherited an installation, purchased equipment before planning the room or started a DIY project and reached a point where you need additional help.

IT Company or AV Installer: Which Do You Need?

This largely depends on the room.

For a straightforward Yealink MeetingBar or Teams Room, an IT company with relevant meeting-room experience may be able to handle both the physical equipment and the technology behind it.

That’s useful because a Teams Room doesn’t exist in isolation. It depends on your network, Microsoft 365 environment, accounts and licensing.

That’s where our wider business communications solutions London service comes into the picture.

An AV specialist can become more important when you’re dealing with a particularly complicated room, such as a large boardroom, complex audio requirements, multiple displays or significant physical installation work.

Some projects will involve both IT and AV expertise.

New electrical work should be handled by an appropriately qualified electrical contractor, while structured network cabling should be installed by someone competent to carry out that work.

What Do You Need for a Yealink Microsoft Teams Room?

The exact requirements depend on the equipment and room, but there are several areas to consider before installation begins.

    Microsoft 365 Account and Licensing

A Teams meeting room should have the appropriate room resource and Microsoft Teams Rooms licensing rather than simply relying on someone’s personal Microsoft 365 account.

Licensing deserves checking before equipment is purchased, particularly because Microsoft can change products, features and licensing arrangements.

    Network Connection

Video and voice depend on a reliable network connection.

Before installing a room or larger group of phones, check:

    • availability of wired network connections
    • PoE requirements for applicable equipment
    • available network capacity
    • firewall configuration
    • the location of network points

Our IT network support London service covers the wider networking side of business communications.

    Room Layout

The best camera isn’t much use if half the table isn’t visible.

    Before mounting equipment, look at:

    • room dimensions
    • seating positions
    • distance from participants to the camera
    • microphone coverage
    • display position
    • power availability
    • network points
    • glass and other potentially problematic surfaces

For anything beyond a straightforward huddle room, this is where a site survey can be worthwhile.

How Do You Set Up Yealink for Microsoft Teams?

The exact process depends on the Yealink device, but the installation needs to bring the hardware, Microsoft environment and network together.

For a Teams Room, that can involve:

    1. checking the equipment is suitable for the intended room
    2. preparing the relevant Microsoft 365 room account
    3. checking the required licensing
    4. connecting the equipment to the network
    5. installing and positioning the hardware
    6. connecting the appropriate account
    7. applying the relevant Microsoft Teams configuration
    8. testing meetings, audio, video and screen sharing
    9. checking that the finished system can be supported and managed

If you’re planning a wider Teams project, our Microsoft Teams solutions for business London service covers the Microsoft side as well as the communications requirements.

What Can Go Wrong With a DIY Yealink Installation?

The hardware itself isn’t the only thing that determines whether a Yealink installation works well.

Problems can come from the environment around it.

    Firmware and Device Management

Business phones and room systems need to remain manageable after installation.

That means knowing which devices you have, where they’re installed and how they’re going to be kept up to date.

An installation involving numerous devices becomes much easier to support if device management is considered from the start rather than after something goes wrong.

    Accounts and Licensing

Using the wrong account or discovering that the required licence hasn’t been assigned can stop a seemingly straightforward installation in its tracks.

This is especially important for shared devices and meeting rooms, where the account requirements can differ from a normal user’s PC.

    Poor Camera or Microphone Positioning

A camera needs to see the people using the room, while microphones need to pick them up clearly.

This sounds obvious, but the physical layout of a room can turn good equipment into a frustrating meeting experience.

Decide where the equipment needs to go before permanently mounting it.

    Network Problems

Audio and video are particularly noticeable when network performance is poor.

If you’re experiencing wider connectivity problems, solve those before assuming that replacing the Yealink hardware will fix your meeting-room experience.

Are There Security Considerations With Yealink Equipment?

Yes. Phones and meeting-room systems are devices connected to your business network, so they shouldn’t be forgotten once they’ve been installed.

They should form part of the same general security and device-management thinking applied to the rest of your business technology.

That includes sensible account management, secure configuration and keeping applicable software and firmware up to date.

How Much Does Yealink Installation Cost?

There isn’t one price for installing Yealink equipment because installing one phone is fundamentally different from building several meeting rooms.

The cost of a project can depend on:

    • how many phones or rooms you’re installing
    • the equipment being used
    • physical mounting requirements
    • whether new cabling is required
    • your existing network
    • Microsoft 365 and Teams configuration
    • whether existing services need to be migrated
    • testing and handover requirements
    • whether you require ongoing support afterwards

If you’re moving away from an existing telephone platform, the migration itself also needs to be considered. For example, we’ve explained one common business telephone platform in our guide to the 3CX phone system.

Is It Cheaper to Install Yealink Yourself?

For one headset or a straightforward phone, it may well be.

For a larger deployment, the comparison isn’t simply your installation quote versus spending nothing.

You also need to consider the time involved in planning the installation, configuring devices, resolving problems and supporting users afterwards.

That’s why DIY tends to make most sense at the simpler end of the scale.

Choosing a Yealink Installer in London

If you’ve decided not to install the equipment yourself, look for a provider that understands all the parts of the project you need help with.

What Should You Ask a Yealink Installer?

    Before going ahead, ask:

    • Have you installed Yealink phones or meeting-room systems before?
    • Can you handle Microsoft Teams configuration as well as the hardware?
    • Will you check the network before installation?
    • Can you help with accounts and licensing?
    • Who handles cabling if additional network points are needed?
    • Will the room be tested before handover?
    • How will devices be managed and updated afterwards?
    • Who provides support if there is a problem after installation?

The answers should also help you establish whether you need one provider or a combination of IT, AV, cabling and electrical contractors.
